Getting Started Is Simple
We start with a short discovery call to understand your current stack, where leads are getting stuck, and what "success" looks like for your team. No slide deck, no sales pressure — just enough context to scope the right engagement.
We map the fastest path to results — which integrations to fix first, which workflows to build, and what reporting matters most — and match you with the consultant whose background fits your platform and industry.
We build and integrate the system, train your team to run it, and stay close through launch to catch anything unexpected. From there, we keep optimizing based on real performance data — you focus on the business, we handle the admin.
What To Expect
Your matched consultant owns the engagement from kickoff to handoff — no bouncing between account managers or support tiers.
Short, regular calls keep the build on track and give you a standing chance to redirect priorities as things come up.
Before any work begins, you get a clear scope of what's being built, what it costs, and what "done" looks like.
Once you're live, we report on the metrics that matter — leads, conversion, and ROI — so results are never a guess.
Step Detail
Three steps is the short version. Below is the longer one — the specific work inside each phase, what we ask of you, and what you receive at the end of it. Nothing here is billed by surprise: scope, deliverables, and timeline are agreed in writing before a single workflow gets built.
Step One
We start by looking at what you already own. That means an inventory of your marketing platform, CRM, forms, and tracking; a review of the campaigns currently running and how they perform; and a read of your data hygiene — the reason we argue that marketing and sales data should never live apart — — duplicates, missing source fields, inconsistent lifecycle stages. We interview the people who use the tools daily, because the gap between how a platform was configured and how it is actually used is where most of the lost revenue hides. You leave this phase with a written findings document: what is working, what is broken, and a prioritized list of fixes ranked by effort against expected return.
Step Two
Next we design the workflows on paper before touching the platform — entry conditions, branching logic, wait times, exit criteria, and what each path is supposed to prove. Once you approve the maps, we build. That covers the full range of our core services: automation sequences, lead scoring rules, CRM field mapping and two-way sync, form and landing page logic, and the tracking needed to attribute results honestly. We build in a staging or test context first, run contacts through every branch, and check what lands in the inbox and in the CRM before anything touches your live audience.
Step Three
Launch is staged, not flipped. We release to a limited segment, confirm deliverability and data flow, then open the volume. During the first full cycle we watch the numbers that matter to you — qualified leads, reply rates, pipeline created — and tune send timing, segmentation, and copy accordingly. Then we hand off properly: live training sessions with your team, written playbooks per workflow, and a documented map of how the systems connect — see the use cases for what those workflows look like in practice, so your team can change a campaign without calling anyone.
Throughout
You get a single point of contact, a shared document of decisions and open questions, and a short weekly update on what shipped and what is next. No status meeting for the sake of a status meeting. If something we find changes the scope or the estimate, you hear it the week we find it, not in an invoice.
Discovery and scoping take one to two weeks. A focused build — one or two core workflows plus CRM integration — usually goes live within three to five weeks. Broader programs covering several channels run six to ten weeks, sequenced by return the way we describe in which marketing tasks to automate first, staged so something useful launches early rather than everything launching at once.
One decision-maker who can approve scope, and one operator who knows the current tools and data. Most projects need a few hours a week from each during the build, plus a longer session for training near the end. We keep the meeting load deliberately light.
We monitor the first full campaign cycle with you, tune what the data suggests, and hand over written playbooks for every workflow we built. From there some clients run independently and some keep us on a monthly retainer for optimization and new campaign builds.
Yes, and often. We handle the platform, data, and workflow layer while your creative or agency partners handle content and brand. Clear ownership boundaries get set during scoping so nobody duplicates work.
